Retiree Email
- What is the policy regarding FSU email access for retirees?
- What are the guidelines for FSU email access for employees upon retirement?
Retired employees may continue to use their FSU email account upon retirement from the university. If a retiree does not access their FSU email account in any one-year period, they will be contacted via all on-file email addresses and will have 30 days to access the account. If the retiree does not access the account in this time, the account will be disabled. Requests also may be submitted by the retiree or, in cases of misuse, by the department or university, to disable access to an email account at any time.
What Microsoft 365 services do I have access to as a retiree?
Office 365 Licensing Overview
Users with a retiree affiliation are currently assigned a free A1 license to Office 365. This A1 license covers access to the web version of the popular applications like Outlook, Word, Excel, PowerPoint and OneNote. The A1 license is different from users with an employee affiliation who are assigned an A5 license to Office 365. The A5 license covers access to the desktop version of the entire Office 365 suite.
What is included in the Office 365 web version?

While there are some limitations in the functionality of the web version of Office 365, retirees can rest assured that they will be able to communicate seamlessly and create amazing content. The main difference in this licensing change is just the medium by which your files are accessed and worked on. Important to note:
- This web access is subject to change depending on what the Microsoft Campus agreement offers at no cost to FSU; the only service FSU ITS can guarantee going forward is Outlook online
- The retirees’ department, security office, or HR can request their data or applications be removed from the user's view in some circumstances
I need access to the desktop version of the Office 365 apps. What can I do?
Access to the desktop version of the Office 365 suite for retirees can be established through two routes:
- Retirees can purchase a personal license of Office 365:
- If there is a business need to establish a courtesy appointment with a campus department and the Division of Retirement guidelines are followed, an appointment request can be submitted by the retirees' department to Human Resources for approval. Courtesy appointees obtain an A5 license if services with FSU consist of:
- Research, course, or journal collaboration, serving on committees, being listed as an instructor of record, assisting as an outside consultant or being employed by an outside agency that is affiliated with FSU
Important to note:
- During the first six calendar months from your service retirement effective date or following your Deferred Retirement Option Program (DROP) termination date, you cannot be in an employment relationship providing services (paid or unpaid) with an FRS employer as it may void your retirement status and benefits
- Please consult competent tax and legal counsel to assist in determining whether an employment relationship exists before contacting your department to submit a courtesy appointment on your behalf to Human Resources
